Team Manager Roles & Responsibilities

OVERVIEW

The Team Manager is an integral part of the team and serves as the key communicator to parents/guardians and provides organizational support for coaches on your team. This role is also the liaison between the coaching staff, parents/guardians, NRYHA Board/Committees, tournament directors and other partners throughout the season. This role fulfills your NRYHA volunteer hours requirement in full. Thank you for supporting your team and NRYHA through this important role!


REQUIREMENTS

  • Register with USA Hockey -
  • You will need a current (2024-2025) USA Hockey Number. When registering be sure to choose Manager/Volunteer option when asked “what type of member are you registering.” There is no cost for this. https://membership.usahockey.com/
  • Complete SafeSport modules
  • You must complete SafeSport training every year. You will be redirected to your MyHockey HQ Portal Login screen. If you do not yet have an account here please follow the directions for "First time members," read carefully. Once you are in your My Member HQ and on your Dashboard you will see SafeSport Training on the right half of the page. https://www.usahockey.com/safesporttraining
  • Complete Background Screening - Email receipt to nryhaclerk@gmail.com
  • You are required to have an approved background check, renewal happens every two years. There is a $30 cost associated with this step which is reimbursed by the association. https://www.usahockey.com/backgroundscreen


RESPONSIBILITIES 

  • Maintain organization of the team. A team notebook is recommended for team managers. 
  • Communicate between families, coaches, tournament directors, NRYHA and other partners involved in the season 
  • Organize the team webpage 
  • Monitor GameSheet information and statistics, update crossbar with game and scrimmage scores

  • Making Sure the team’s practices and home games have all of the volunteer spots claimed


CROSSBAR

  • Crossbar is in place of Sportsengine and Dibs 
  • Crossbar is a cloud-based sports management software. Our website and the Crossbar app should be your first source of information about NRYHA and the first stop for communication with your team
  • Shawn Demulling and Sara Ashmore will add games, scrimmages, and practices to your Crossbar calendar. You can add team events such as potlucks, gatherings, parties, etc.

TEAM NOTEBOOK 

It is the manager’s responsibility to keep a notebook of all key information. Those items are as follows:

  • USA verified hockey roster, this will come from the association registrar
  • Emergency contact information for players;(Consent to Treat)
  • An up to date calendar of the team’s schedule
  • Anything else the manager feels helps them with overall organization


COMMUNICATION

  • Send out a welcome email to the team once you have been named manager
  • Communicate the balance owed by the team for tournament fees
  • Note your board level representative and utilize them should you need support from the board
  • Send a weekly email to your team letting them know their weekly schedule, upcoming events, tournaments, balances due, etc. 
  • Remind your team to fill volunteer shifts for teams scheduled games and practices


Manager Meeting and D2 Manger Meeting

The mandatory manager meeting is on Sunday October 13th at 7pm, at the rink. The mandatory D2 meeting will be via zoom, date TBD


VOLUNTEERS

NRYHA uses Crossbar to track volunteer hours. Every member will be able to go to the volunteer page to sign up for shifts. As the team manager you are responsible for making sure all other members on the team are filling the necessary roles to help the season run smoothly. Each family with a player aged squirt level or above is required to cover 40 volunteer hours and many of these hours are fulfilled during games and practices. Below is a list of things volunteers may do for their team.

  • CONCESSIONS:
  • Parents from each team are responsible for covering concessions during their games and practices. If the shifts are not covered, it is up to the manager to reach out to the team via crossbar to remind parents to sign up. The manager is able to assign parents volunteer spots through the crossbar app if the shifts do not get covered. Volunteers are welcome to sign up for volunteer shifts that do not pertain to their team.
  • GAMES: 
  • Home games require a volunteer for score clock, score book, announcing and penalty box on top of the concession shifts. It likely takes the whole team to host a home game. 
  • Away games require Locker Room Monitor and penalty box.
  • LOCKER ROOM MONITOR
  • The players are not allowed in the locker room without a Locker Room Monitor, coach, or team manager. The Locker Room Monitor must be registered with USA Hockey, have current SafeSport training and a current background check on file with NRYHA. It is up to the head coach to decide if they would like to be the LRM or have a parent fill this role. The team manager will track the hours if a parent is filling this role. As the team manager you have the requirements to step into this role, if the head coach needs you to do so.
  • HOME TOURNAMENTS
  • Home tournaments have a minimum hour requirement based on the hours needed covered and the number of skaters per team. The Tournament Director provides a sign-up sheet via Sign-Up Genius for volunteers to sign up.

  • HIGH SCHOOL VARSITY AND JUNIOR VARSITY GAME ASSIGNMENTS
  • Teams will be assigned high school game’s to fill volunteer roles. The game assignments are based on your team’s schedule. The volunteer roles include concessions x 4, Front Gate x 2, Penalty Box x 2, Score Book, Cleaning x 2, and announcing (JV only). These games will require up to 12 volunteers from your team. These hours count towards the 40 required volunteer hours. As the team manager you will coordinate the volunteers and email the volunteer coordinator a list of volunteers and hours worked so they can credit the members account. Below is a Google Sheet example of what to create and inform the team on. Feel free to copy.

  • HOME TOURNAMENTS
  • Home tournaments have a minimum hour requirement based on the hours needed worked for the individual tournament. The Tournament Director provides a sign-up sheet via Sign-Up Genius for volunteers to sign up. 
  • The Tournament Director is Barry Cunningham, his email is tournaments@nryha.net
  • Team managers must be available during their home tournament and will be required to fill the same amount of volunteer spots as the rest of the team. 
  • Team managers must verify that all sign-up genius volunteer time slots are filled prior to the start of the tournament
  • Team manager will be in communication with the fundraising committee in the case that the committee would like to do a fundraiser during the tournament weekend…raffle baskets, raffle boards, etc.

  • Feel free to coordinate a concessions fundraiser within your team such as a bake sale, walking tacos, soup, chili, etc.. Reach out to Britta Titel if you need support with this (crock pot, supplies, etc.)


  • AWAY TOURNAMENTS
  • NRYHA has booked two additional tournaments this season for every team. One tournament will be an out of town tournament and the other is close enough to drive back and forth daily.. 
  • There is a balance due from each team to cover the tournament. Please bring payment from families ASAP and turn money in upstairs in the little black mailbox by November 1st.
  • Sarah Barron booked hotel blocks for every team’s away tournament. She will contact you with your team’s hotel information.

SCHEDULING

The Rink scheduler and team managers have complementary roles in ensuring efficient scheduling and ice usage. Please note, all schedule changes must be approved by the team’s head coach.

  • NRYHA plays as a guest in Minnesota’s District Two Youth Hockey Association, AKA Minnesota Hockey District Two, or D2. The bulk of your season’s games will be within this league.

  • NRYHA is a member of Region 6 in the state of Wisconsin. Playdowns that determine whether or not your team goes to the state tournament will be played within this league. Communicate with your coach about scheduling games with Menomonie and Onalaska as these games determine your team’s seed at playdowns.

The Rink Scheduler is responsible for working with Minnesota Hockey (District 2) to ensure league games are scheduled for all eligible teams. Additionally, the Rink Scheduler is responsible for scheduling all on-ice activities at the Sports Center, including: practices, assignment of open game ice for non-league games, NRHS practices/games, open skating, community events and other activities. The Rink Scheduler is also accountable for creating and maintaining the scheduling system and updating the website calendar. This scheduling system is the official schedule and is considered the one source of truth in the event of a conflict.


The Team Manager is accountable for the following:

  • Communicating any game and practice time schedule changes to the Rink Scheduler (includes adding, removing, canceling, etc.). 
  • This includes both home and away games as well as any practice changes. 
  • This would include adding and/or canceling individual games and/or tournaments in order to appropriately fill out the season.
  • Confirming games with opposing team managers (confirming date/time and location are correct). This is a requirement of all District 2 games as well.
  • District 2 Game Schedule – verifying all game dates, times, locations entered into website calendar match with schedule provided by District 2 at the managers meeting. Please note in the past, there have been clerical errors, so do not skip this step. If an error does occur, please work with the rink scheduler to resolve as necessary.
  • Making sure addresses are correct in Crossbar for away games and tournaments. 
  • Serving as a liaison between the coaches and parents. This would include scheduling any coach-parent meetings to discuss team issues, or arranging volunteers for team functions (ex: pizza parties or outings, or get togethers when travel involves overnight hotel stays.) 


Important Scheduling Logistics for 2024-2025

  • Minnesota Hockey District 2 (D2) will be assigning games. Rink Scheduler provides D2 with available ice slots for each team. D2 schedules and assigns all games. 
  • Information is periodically received from other associations regarding games and tournaments – The Rink Scheduler will forward this information onto you whenever appropriate.
  • The Rink Scheduler will be providing you with an “Avario” account so you may look at open ice at our rink. You will then be able to fill out your schedule. To request ice time, email the scheduler your name, your team name (example, Squirt B), the date and time you would like, and if you need referees or not. The Scheduler will confirm and add it to your crossbar schedule.
  • Back Ice – This is available for use and we strongly encourage taking advantage of it if weather permits. Please check with your head coach to see if they’d like to add ice time. You will use the same scheduling system with Avario to sign up for back ice. Once you find open ice, email the scheduler your name, your team's name and the time and date you would like. They will confirm and add it to your crossbar schedule.


Dryland Training

Off Ice training (Dryland) will be coordinated by team coaches. You will use Avario to schedule this. Email the scheduler your name, the team's name and the time and date you would like. They will confirm and add it to your crossbar schedule.

iPad

Ipads are used for scoring games. It is the home teams responsibility to score the game. When your team has a home game, your team volunteer will find the Ipad in the scorebooth. Please remember to keep ipad in booth and plug it in when finished. If the ipad is not in the scoring booth it will be in the zamboni room located in the locker on the right. Game Sheet is the app we use to score games. Tutorials are on the website and directions are in scoring booth.
